Expenses
Track trading costs, reuse company details, and plan recurring payments.
Expenses show the real cost of your trading business alongside payouts and challenge fees. Use them for subscriptions, software, courses, equipment, market data, platform fees, and other non-challenge costs.
Add an expense
- Choose Add in the sidebar, then search for or choose Expense. You can also press Command-K, choose Create, then choose Expense. Opening Expenses and choosing Add expense starts the same journey.
- Search for or choose an expense type. If nothing matches, choose the Add result, finish the new expense-type step, and continue with the type you just saved.
- Search for or choose a saved company. If nothing matches, choose the Add result to save a reusable company. To keep the name on this expense only, choose Continue with a one-off name instead.
- Enter the purchase date and cost, then add an optional description.
- Choose a multiplier if the purchase covers several identical items.
- Choose Add expense.
Press Enter or Right Arrow to continue from a selected result. Choose the visible back action, press Left Arrow, or press Backspace to return to the previous Create step. The previous query and unfinished Expense draft stay in place. Press Escape to close the complete Create journey. Editing an expense that already exists still uses its detail sheet; the Create modal is only for adding a new expense.
Use the Multiplier slider to choose any quantity from 1 to 20, or use ×1, ×5, ×10, ×15, and ×20 as shortcuts. trackmyprop multiplies the amount and saves one expense with the combined total. For example, $50 × 5 becomes one $250 expense.
Choosing a saved company reuses its name and logo. It does not replace the expense type you chose at the start of this Create journey.
Reuse company details
trackmyprop includes popular trading-company presets such as TradingView, TradeZella, Traders Connect, Rithmic, Tradovate, cTrader, and TradeLocker.
If a company is not listed, type its name in the company step and choose the Add result. Enter its name and optionally upload a logo or paste a logo URL. Your custom company is then available on future expenses and recurring payments. Choose the one-off option when you do not want to save that name.
For a logo URL, enter the complete image address starting with https:// or
http://, then choose Add logo. If the address is incomplete, the field
explains what to correct.
Use Manage companies on the Expenses page to edit or remove your custom companies. Built-in presets cannot be changed or removed. Removing a custom company does not delete expenses you already logged.
Expense types
The default types cover common trading costs:
- Subscriptions
- Software / tools
- Education / courses
- Equipment / hardware
- Data
- Platform / broker
- Admin
- Other
If a type is missing, type its name in the expense-type step and choose the Add result. The new type is available immediately and on future expenses. You can also manage custom types from the Expenses page.
Add a recurring payment
Turn on Repeats while adding an expense, or choose Add in the Recurring payments card.
Set:
- a weekly, monthly, quarterly, or yearly frequency
- the next billing date
- an optional final billing date
- an optional description
- how many days before billing you want a reminder
Recurring payments are reminders, not automatic charges. When a payment is due, choose Confirm to add it to your expense ledger. trackmyprop then moves the reminder to its next billing date. After the final billing date, the recurring payment moves to Ended.
A recurring payment keeps its billing day of the month. A payment due on the 31st bills on the last day of shorter months, then returns to the 31st (for example Jan 31, Feb 28, Mar 31). Changing the next billing date makes the payment bill on that day from then on.
When adding a repeating expense, its final billing date must be on or after the first renewal. If it is earlier, saving returns you to that field to correct it.
Use the Active, Paused, and Ended filters to review the full lifecycle of your recurring costs.
Understand the dashboard
The Expenses page combines:
- monthly spending and recurring commitments
- spending by expense type
- optional monthly budgets
- upcoming recurring payments
- a recent-expenses table with tabs to filter by expense type
This month, budgets and monthly burn include challenge fees, activation fees once a challenge is funded, and resets or other expenses linked to a challenge. Spend by category shows them as Challenge fees.
Expenses also remain visible in Transactions, which is the complete money ledger.
If the monthly chart has no spending in the last six months, choose Log an expense in the chart to add your first record for that period.
