Challenges and payouts
Record each prop-firm challenge, move it through its phases, link the account for each phase, log payouts and track your firm's rules.
Every evaluation you buy is a challenge in trackmyprop. Record it once, update its status as you pass each phase, link the account your firm issues for each phase, and log payouts once you are funded. Challenges and payouts live in Transactions. Prop Firm Journey in the sidebar adds rule tracking, cost planning and analytics.
Add a challenge
- Choose Add at the bottom of the sidebar, or press ⌘A, then choose Challenge.
- Search for your prop firm and select it. If it is not listed, type its name and choose the Use result.
- Fill in Start date, Type, Account size and Challenge cost. Add an Activation fee if your firm charges one when you get funded.
- Bought several identical challenges? Set Multiplier to how many (1 to 20).
- Choose Add challenge.
You can also start from Challenge in the Transactions toolbar, or search for Add challenge in the command menu (⌘K).
- Type sets the phases: 1 Step is Phase 1 then Funded, 2 Steps and 3 Steps add Phase 2 and Phase 3, and Instant is saved as funded straight away.
- A multiplier saves separate challenges, so each one can pass, fail and receive payouts on its own. Five $100 challenges become five rows of $100.
- The activation fee only counts as a cost once the challenge is funded. It is dated with the challenge's start date.
- Accounts and payouts are linked after you save, so you can record a purchase before your firm issues the account.
Update the status as you pass
The Status column in Transactions shows where each challenge stands: Phase 1, Phase 2, Phase 3 or Funded. It only offers the phases the challenge's type has.
- Open Transactions.
- Choose the challenge's status and pick the new phase.
- When you move forward, a prompt shows the challenge's full path. Choose Add Phase 2 account (or Add funded account) to link the account your firm issued for the new phase, or Skip for now to do it later.
The Active switch records whether the challenge is still running. Turn it off when you breach or fail. trackmyprop keeps the phase, so an inactive Phase 2 challenge means it ended in Phase 2, and its status marker turns red. Turn it back on if your firm reinstates the account. A funded challenge that you turn off counts as Breached funded in analytics.
Link an account to each phase
Each phase has its own account slot, because firms usually issue a new account when you pass. The account must already be in trackmyprop through a live connection or a manual import.
- In Transactions, select the challenge to open its details.
- Under Linked Accounts, choose Link beside the phase.
- Pick the connection, then the account.
Phases you have not reached yet are locked, for example Unlocks once you reach Phase 2. When you pass a phase, its account stays linked and shows Passed and Historical account, so its trades stay part of the challenge's history.
To link the current phase without opening the details, choose Link account from the row's menu, or select Not linked in the Linked account column.
Record a payout
A payout can only be linked to a funded challenge, including a funded challenge you have since turned off.
- Choose Add, or press ⌘A, then choose Payout.
- Pick the funded challenge that paid you. To record the payout on its own, choose Continue without a challenge.
- Check Prop Firm, then set Payout Method (Wire Transfer or Cryptocurrency), Payout Date and Payout Amount.
- Optional: choose Add a certificate image to keep the payout proof. It also appears in Certificates.
- Choose Add payout.
From a funded challenge you can also choose Add payout in its row menu, or Add in the Payouts section of its details. A challenge that is not funded yet shows Payouts open once funded.
A payout saved without a challenge stays standalone. It still counts in your totals, analytics and statements.
Pin, duplicate or delete a challenge
Open the row menu in Transactions:
- Pin keeps the challenge's card at the top of Transactions, and Overview shows the first three pinned cards. Link an account before pinning. You can pin up to six challenges.
- Duplicate adds a copy of the challenge.
- Delete removes the challenge and any expenses linked to it. Its payouts are kept. Choose Undo in the message that appears to bring it back.
Track your firm's rules
Prop firms change their rules often, so trackmyprop does not ship a rule library. You write each program's rules once as a rule template, then attach it to your challenges. Find Journeys and Rule templates under Prop Firm Journey in the sidebar.
Create a rule template
Start a template
Open Prop Firm Journey → Rule templates and choose New template.
Describe the program
Enter Template name, Prop firm, Account size, Challenge fee and, if there is one, Activation fee. Program and Trading style are optional.
Add phases and rules
Under Phases and rules, choose Add phase for each phase and Add rule for each rule. Pick a rule type (Profit target, Daily loss, Overall loss, Minimum days, Consistency or Custom), then a threshold and a unit.
Choose how each rule is checked
Automatic and Observed rules are checked against the linked account's results. Manual check leaves the decision to you. Custom rules are always a manual check.
Record the source
Optional: paste the firm's rules page into Source URL. Turn on I checked this source now only after you have confirmed the rules on that page today.
Save
Choose Create template.
Template phases follow the challenge's status in order: the first phase applies in Phase 1, the second in Phase 2, and so on. To keep tracking rules once you are funded, add a phase with "Funded" in its name.
Editing a template does not change challenges that already use it. Deleting a template does not change them either.
Attach rules to a challenge
Every challenge you record appears as a card under Journeys.
- Open Prop Firm Journey → Journeys.
- On the challenge's card, choose Set up rules.
- Pick a Rule template and choose Save rule snapshot.
The card keeps a copy of the template's rules from that moment. When your firm changes its rules, update a template, then choose Change rules on the card and add a short reason. This saves a new revision. Earlier revisions stay in the history, and the card shows the one in effect, for example Rules revision 2.
Read the rule card
The top of the card shows Linked account, Current phase and Rule attention, which counts the rules near or over their limit. Each rule shows one status:
| Status | What it means |
|---|---|
| Met | The profit target or minimum days are reached. |
| In progress | The target or minimum days are not reached yet. |
| Within observed range | The account is below 80% of the limit. |
| Near observed limit | The account has used 80% or more of the limit. |
| Observed breach | The account reached or passed the limit. |
| Manual check | You decide this rule yourself. |
| Unavailable | An account, threshold, account size or trade history is missing. |
The profit target compares the account's current balance with its account size. Loss, minimum-day and consistency rules use the closed trades of the account linked to the current phase, counted by trading day.
Plan the cost of getting funded
On a rule template, or on a challenge card that has rules, choose Estimate funding cost. A funded challenge's card shows Project payouts instead. Both open a planning view with two tabs:
- Cost to fund loads the account size, challenge fee, profit targets and loss limits. Read Check before calculating, choose the drawdown type, then choose Run simulation. 90th-percentile spend is the budget for a 90% chance of getting funded at least once under your assumptions.
- Payout projection loads the account size. You choose the profit split, monthly return, time horizon, and whether to withdraw or reinvest.
Activation fees, minimum-day, consistency and custom rules are not carried into the simulation, and a recurring fee needs you to enter it yourself. Planning never changes your saved rules. Choose Back to Journey to return.
Review your prop-firm results
Prop Firm Journey → Analytics shows Invested, Payouts, Net, Funded and Breached funded for the accounts and dates you have selected, with charts by month, format and firm. Select a firm for its details.
- Fees, activation fees, linked expenses and payouts each count on their own date. A March payout counts in March, even when the challenge started in January.
- Challenge counts include the challenges started in the selected period.
- Expenses not linked to a challenge stay out of ROI and are listed separately.
- Instant challenges are left out of the funnel's funded and payout steps, because they are bought funded.
Journeys follow the account selection but ignore dates. Rule templates ignore both.
If something goes wrong
Payouts open once a challenge is funded. Set its Status to Funded, then add the payout.
Pinned cards need a linked account. Choose Link in the message, link the account, then pin again. If you already have six pinned, unpin one first.
Add the account first through Add a connection or manual import. In Start journey, accounts already linked to a challenge are not offered.
Link an account to the current phase, give the rule a threshold, and set the account size on the template. Rules based on trades stay unavailable until the account has closed trades.
The challenge is funded, but its rules have no phase named "Funded". Add one to the template, then choose Change rules on the card.
Open the challenge in Transactions, set Type to 1 Step, 2 Steps, 3 Steps or Instant, and choose Save Changes. Challenges started from a template use its Program text as the type, so write the program with these names.
The account was linked before each phase had its own slot. Choose Link beside the right phase under Linked Accounts and pick the same account.
