Expenses
Log trading costs, reuse saved companies, set monthly budgets and confirm recurring payments when they come due.
Expenses shows what trading costs you each month: tools, data, courses, equipment, platform fees and your challenge fees. Set it against your payouts to see what you really keep.
Add an expense
- Choose Add at the bottom of the sidebar, or press ⌘A, then choose Expense. In the command menu (⌘K), Add expense goes straight there.
- Choose an expense type. If yours is missing, type its name, choose the Add result, pick an icon and choose Add expense type.
- Choose a saved company. To save a new one, type its name and choose the Add result. To use a name on this expense only, choose Continue with a one-off name.
- Enter Purchase date and Purchase cost. Notes are optional.
- Bought several of the same item? Set Multiplier. trackmyprop saves one expense for the total, so $50 × 5 becomes one $250 expense.
- To be reminded next time, turn on Repeats. See Set up a recurring payment.
- Choose Add expense.
Challenge fees and activation fees come from your challenges, so record those with Add → Challenge instead. They appear on this page on their own. See Challenges and payouts.
To change an expense, select it under Recent expenses or in Transactions. To delete one, open its row menu in Transactions and choose Delete Expense.
Save companies and expense types
trackmyprop includes common trading tools and platforms, such as TradingView, Rithmic, Tradovate, cTrader and TradeLocker. Choosing a company fills in its name and logo.
To save your own company while adding an expense, type its name in the company step and choose the Add result. Enter Company name, then add a logo if you like: choose Upload for an image file up to 10 MB, or Paste URL, paste a full address starting with https:// or http://, and choose Add logo.
The default expense types are Subscriptions, Software / tools, Education / courses, Equipment / hardware, Data, Platform / broker, Admin and Other.
To manage both lists, open Expenses and use the buttons on Recent expenses:
- Manage companies lets you add, edit or remove your own companies, each with a default expense type. Built-in companies are marked Preset and cannot be changed. Removing a company keeps the expenses you already logged.
- Manage types lets you add, rename or delete your own types. Built-in types are marked Default and cannot be removed. Expenses with a deleted type move to Other, and this cannot be undone.
Set up a recurring payment
Recurring payments remind you about subscriptions and renewals. They never charge you or log anything until you confirm the payment.
You can set one up two ways:
- While adding an expense, turn on Repeats, choose how often it repeats under Every, and set Remind (days before). The expense you are adding is logged now, and the first reminder is one period after its purchase date.
- On the Expenses page, choose Add on Recurring payments. Set the Company, Amount, Expense type, Frequency (weekly, monthly, quarterly or yearly) and Next billing date.
Turn on Has an end date to stop after a Final billing date. It must be on or after the next billing date.
A recurring payment keeps its billing day. One due on the 31st bills on the last day of shorter months, then goes back to the 31st. If you change Next billing date, it bills on the new day from then on.
Confirm a payment when it is due
When a payment is inside its reminder window, or overdue, it shows Due in 3d, Due today or Overdue by 2d and a Confirm button.
- Choose Confirm.
- Check the amount and Paid on date, and add a note if you like.
- Choose Log expense. The payment is added to your expenses and the reminder moves to its next date.
Reminders show on the Expenses page. trackmyprop does not send a notification for them.
Use Active, Paused and Ended to filter the list. A payment is Paused when Remind me before it's due is off, and Ended after its final billing date. To delete one, open it and choose Delete. Expenses you already confirmed stay in your ledger.
Read the Expenses page
| Card | What it shows |
|---|---|
| This month | Everything you spent this calendar month, challenge fees included |
| Left this month or Monthly budget | What remains of your total monthly budget, or Not set yet |
| Due soon | Recurring payments waiting for you to confirm, and their total |
| Recurring | What your active recurring payments add up to per month |
| Monthly burn | Your spending over the last six months |
| Spend by category | This month's spending by expense type |
| Budgets | Progress against each budget you set |
| Recent expenses | Every logged expense, with a tab for each expense type |
This month, Monthly burn and the total budget include challenge fees, and activation fees once a challenge is funded. Spend by category groups them as Challenge fees.
To set budgets, choose Set budgets (or Edit) on Budgets. Enter a Total monthly limit, a limit for any expense type, or both. Leave a field blank to remove that budget.
Expenses also appear in Transactions with your challenges and payouts, and in your statements.
If something goes wrong
Confirm appears only for active payments that are inside their reminder window or overdue. Check the payment is under Active, or raise Remind to see it earlier.
The final billing date is earlier than the first renewal. Choose a date on or after the next billing date.
Paste the complete image address, starting with https:// or http://. To use a file instead, choose Upload and pick an image of 10 MB or less.
Built-in companies and types are fixed. Save your own company or type for a custom name.
This month also counts challenge fees, and activation fees once a challenge is funded. Open Spend by category to see them as Challenge fees.
